Applicable to Online Services at Gilmoora House
These Terms and Conditions (“Terms”) govern your use of our virtual membership plans, meeting room bookings, and any other services accessed via the Membership Portal or the Gilmoora House App. By using these services, you agree to comply with these Terms. Please review them carefully.
1. General Terms and Conditions
These Terms apply to your meeting room bookings and use of the facilities and services at Gilmoora House. By using our services, you agree to these Terms.
2. Membership and Access
Eligibility
To become a member of Gilmoora House, you must be at least 18 years old and legally capable of entering a binding contract. All information provided during sign-up must be accurate and up-to-date.
Application
All membership applications are subject to approval. Gilmoora House reserves the right to refuse any application at its discretion.
Fees
Membership fees depend on the selected plan. A full breakdown of fees, including any applicable charges for additional services, is provided in Annex A. Any changes to fees will be communicated in advance.
Access
Membership grants access to communal spaces and meeting rooms during designated hours (Monday to Friday, 9:00 a.m. – 5:30 p.m., excluding bank holidays). Access is subject to availability and may change with notice.
3. Bookings and Reservations
1. Booking Facilities
Members can reserve meeting rooms and other facilities via the official website or the Gilmoora House App. All bookings are made on a first-come, first-served basis and are subject to availability. Booking confirmations are not guaranteed until payment is received and confirmed.
2. Cancellation Policy
Cancellation policies vary by facility. Please refer to the specific cancellation terms outlined below*. Charges may apply for late cancellations.
*Gilmoora House Limited reserves the right to change any listed prices with notice.
٭All prices are exclusive of VAT.
*The half day rate applies to a 4-hour block booking in either the morning or the afternoon. A morning booking must finish before 1:30 p.m. and an afternoon booking cannot start before 1:30 p.m and must finish before 5:30 p.m.
*Full Day meetings include 1 serving of tea, coffee & biscuits.
Please be advised that a meeting room booking will need to be cancelled via email to enquiries@gilmoorahouse.com.
2.1. Cancellation Policy
Portland room
Charged at 100% if cancelled 48 hours or less before the booking.
Titchfield, Wells, Langham or Mortimer
Charged at 50% if cancelled 24 hours or less before the booking.
3. Non-Transferable Bookings
Bookings are personal to the member who made the reservation and cannot be transferred or resold. However, cancellations or modifications may be requested by an authorized representative, such as an assistant or secretary, provided they have the member’s written approval.
4. Use of Facilities and Services
4.1. Member Conduct
Members are expected to maintain professionalism when using Gilmoora House facilities. Misconduct, including but not limited to disruptive behavior, illegal activities, or damage to property, may result in membership revocation and removal from the building.
4.2. Compliance with Laws
Members must comply with all applicable laws and regulations, including those related to health and safety.
4.3. Care for Facilities
Members are expected to treat the facilities with care. Any damages caused by a member will result in liability for repair costs.
5. Products and Additional Services
5.1. Extra Services
Additional services, including catering, post handling, and laundry services, are available. Availability may vary, and each service is subject to its own terms, which are available upon request.

5.2. Payment
Fees for additional services or products must be paid promptly according to the agreed terms.
6. Termination and Suspension
6.1. Terminating Membership
Members may terminate by providing written notice via email to enquiries@gilmoorahouse.com your notice period will be outlined in your agreement. Membership fees are non- refundable, and any outstanding charges must be settled before termination.
6.2. Termination by Gilmoora House
Gilmoora House reserves the right to suspend or terminate your membership at its discretion. If your membership is terminated, any unused portion of your membership will be refunded on a pro-rata basis.
7. Limitation of Liability
7.1. Gilmoora House’s Responsibility
Gilmoora House shall not be liable for any indirect, incidental, consequential, special, or exemplary damages, including but not limited to loss of profits, loss of business, or other intangible losses, arising out of or in connection with the use of our facilities, even if advised of the possibility of such damages.
Members are responsible for any loss or damage incurred as a result of their actions while using our spaces.
8. Your Payment Security at Gilmoora House
8.1. Payment Processing
All payments made through the Gilmoora House Membership Portal or App are processed securely by third-party providers, Stripe and GoCardless. Gilmoora House does not store any payment details on its systems.
8.2. Third-Party Compliance
Both Stripe and GoCardless comply with UK security standards, including PCI DSS certification, ensuring the security of your payment information.
8.3. Data Protection
Gilmoora House adheres to the UK Data Protection Act and General Data Protection Regulation, ensuring all personal data is processed in accordance with legal requirements. For more information, please refer to our full Privacy Policy available on our website and app.
9. General Provisions
9.1. Changes to Terms
Gilmoora House reserves the right to modify these Terms at any time. Any amendments will be communicated to you through the Membership Portal or via email, and your continued use of the services constitutes acceptance of the updated Terms.
9.2. Severability
If any provision of these Terms is deemed invalid or unenforceable by a court of competent jurisdiction, such provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.
9.3. Governing Law
These Terms are governed by the laws of England & Wales.
10. Entire Agreement
These Terms, together with any policies or operating rules posted by Gilmoora House, constitute the entire agreement between you and Gilmoora House regarding the use of our services.
